Orbis Terra GmbH (“OTM“, “Orbis Terra“, “we“, “us“, “our“) respects your privacy and is committed to protecting your personal data. This policy explains what personal data we collect, how and why we use it, who we share it with, and the rights you have. It applies to our website at https://orbisterramedia.com, our publications Tharawat and Women in Family Business, our podcasts and newsletters, and to anyone who contacts us, submits a form, subscribes, or otherwise engages with our services.
As a company established in Switzerland that also serves individuals in the European Union, we handle personal data in line with the Swiss Federal Act on Data Protection (FADP) and, where it applies, the EU General Data Protection Regulation (GDPR).

2. The personal data we collect

Depending on how you interact with us, we may collect:
Information you give us directly

  • Identity and contact details — your name, email address, phone number and country.
  • Professional details — your role or job title, the company or organisation you are affiliated with, and your website or LinkedIn profile.
  • The content of your enquiry — the service or partnership you are interested in, your goals, budget range (for partnership enquiries), publication interest, and any message you send us.
  • How you heard about us — for attribution.
  • Newsletter data — your email address and any preferences, if you subscribe to Our Voice or What’s In A Name.

Information we collect automatically

  • Technical and usage data — collected through cookies and similar technologies when you visit our website (see Section 5), such as your IP address, browser type, device information, and how you use the site.

We do not intentionally collect sensitive personal data (for example, information about health, religion, or political opinions). Please do not submit such information through our forms.

4. Who we share your data with

We do not sell your personal data. We share it only with trusted service providers who process it on our behalf, under contract and only as needed to provide their service, including:

  • Zoho Corporation — our customer-relationship-management (CRM) used to store and manage enquiries and client/partner records.
  • Intuit Mailchimp — our email-marketing platform, used to manage and send our newsletters.
  • Asana — our project- and task-management tool, used internally to coordinate follow-up on enquiries.
  • [Analytics provider — e.g. Google Analytics] — used to understand website usage (see Section 5).

We may also disclose personal data where required by law, regulation or legal process, or to establish, exercise or defend legal claims.

5. Cookies and analytics

Our website uses cookies and similar technologies. Cookies are small files placed on your device that help the site function and help us understand how it is used.
We use:

  • Essential cookies — necessary for the website to work and to keep it secure. These do not require consent.
  • Analytics cookies — which help us understand how visitors use our site so we can improve it. We set these only with your consent, given through our cookie banner.
  • Security cookies — for example, those set by Google reCAPTCHA on our forms to distinguish humans from automated abuse.

You can accept or reject non-essential cookies through the cookie banner when you first visit, and you can change your choices at any time. You can also control cookies through your browser settings. Blocking some cookies may affect how the site works.
Our analytics tell us about groups of visitors, not individuals, and we do not use them to make decisions that produce legal or similarly significant effects about you.

6. International transfers

We are based in Switzerland, and some of our service providers process personal data outside Switzerland and the European Economic Area (EEA) — for example in the United States.
Where personal data is transferred abroad, we make sure appropriate safeguards are in place, such as the European Commission’s and Switzerland’s Standard Contractual Clauses, a recognised adequacy decision, or, where applicable, certification under the EU–US and Swiss–US Data Privacy Framework. 7. How long we keep your data

We keep your personal data only for as long as necessary for the purposes described above:

  • Enquiries that do not proceed: [e.g. 12–24 months], after which they are deleted or anonymised.
  • Client and partner records: for the duration of our relationship and [e.g. 6–7 years] afterwards, to meet legal and accounting obligations.
  • Newsletter subscribers: until you unsubscribe, and for a short period thereafter to record and honour your opt-out.

8. Marketing, consent and unsubscribing

We send our newsletters (Our Voice and What’s In A Name) and other marketing communications only where you have subscribed. We may use double opt-in, which means we ask you to confirm your subscription by email before we add you to our list.
You can unsubscribe at any time using the link in every marketing email, or by contacting us. Withdrawing consent does not affect the lawfulness of processing carried out before you withdrew it.

9. Your rights

Under the Swiss FADP and, where it applies, the GDPR, you have the right to:

  • access the personal data we hold about you;
  • request correction of inaccurate or incomplete data;
  • request deletion of your data (“the right to be forgotten” / erasure);
  • restrict or object to our processing in certain circumstances;
  • request portability of the data you provided to us;
  • withdraw consent at any time, where our processing is based on consent; and
  • lodge a complaint with a supervisory authority.

For Swiss matters, the competent authority is the Federal Data Protection and Information Commissioner (FDPIC)https://www.edoeb.admin.ch. If you are in the EU, you may also complain to the data-protection authority in your country of residence.

10. Automated decision-making

We do not make decisions that produce legal effects concerning you, or similarly significantly affect you, based solely on automated processing.

11. Content and the use of AI

Our journalism, editorial content and storytelling — across Tharawat, Women in Family Business, our podcasts and our newsletters — is created by people. We do our best to ensure that our content is original and human-produced.
Where we use technology, including AI-assisted tools, it is to support our team with tasks such as research, transcription, drafting support and formatting. Such tools do not replace the editorial judgement, verification and authorship of our writers and editors, and human review remains central to everything we publish.
This section describes our editorial approach to content; it does not change how we handle your personal data, which is governed by the rest of this policy.

12. Security

We take appropriate technical and organisational measures to protect your personal data against unauthorised access, loss, misuse or alteration. No method of transmission or storage is completely secure, but we work to keep your data safe and to limit access to those who need it.

13. Children

Our services and content are intended for a professional, adult audience. We do not knowingly collect personal data from children. If you believe a child has provided us with personal data, please contact us and we will delete it.

14. Changes to this policy

We may update this policy from time to time. The current version, with its effective date, will always be available at https://orbisterramedia.com/privacy-policy/. Where changes are material, we will take reasonable steps to bring them to your attention.
